Event Calligrapher Booking Policy

Effective Date: January 2025

Thank you for your interest in booking Paurnami Chitran Calligraphy for your event! This policy outlines the terms and conditions for live calligraphy and engraving bookings.

1. Booking & Payment

  • A booking is confirmed only after a non-refundable deposit of 50% is received. The remaining balance must be paid on the day of the event.

  • Payments can be made via direct transfer.

  • Last-minute bookings (less than 72 hours before the event) may require full payment upfront.

2. Cancellations & Rescheduling

  • If the client cancels:

    • More than 7 days before the event: Deposit is non-refundable, but no additional charges apply.

    • Less than 7 days before the event: Full payment is required, and no refunds will be issued.

  • Rescheduling requests are subject to availability and must be made at least 7 days in advance.

3. Event Setup & Requirements

  • A stable workspace with adequate lighting must be provided at the venue.

  • If engraving services are required, a quiet area with access to power (if needed for engraving tools) is necessary.

  • The client must provide event details, including expected guest count, location/venue and any customization requests, type of surface/items to be engraved on at the time of booking.

  • Any changes to event details must be communicated at least 7 days before the event. Last minute changes may not be accommodate.

4. Travel & Accommodation

  • Events outside Al Khobar/Dammam may require additional travel and accommodation costs, which will be discussed before booking.

  • If the event location changes after booking, additional fees may apply.

5. Service Duration & Overtime

  • The standard booking includes minimum 4 hours of live calligraphy.

  • Additional time beyond the agreed duration will be charged at prevailing overtime rate, billed per hour.

  • Overtime is subject to availability and must be approved by the calligrapher during the event.

  • Payment for overtime must be settled before continuing the event.

6. Liability & Force Majeure

  • Paurnami Chitran Calligraphy is not responsible for unforeseen circumstances such as venue restrictions, delays, or interruptions caused by the client or third parties.

  • In cases of emergencies, natural disasters, or other uncontrollable events, we will work with the client to reschedule.

7. Customization & Materials

  • Calligraphy or engraving materials (e.g., paper, cards, perfume bottles) may be provided by either the client or Paurnami Chitran Calligraphy (subject to prior agreement).

  • If using client-supplied materials, we are not responsible for any damages or imperfections.

8. Photography & Promotion

  • We may take photos or videos during the event for promotional purposes. If the client prefers otherwise, they must inform us in writing before the event.
